My staffing has changed, what do I need to do?
If a team members is removed for your payroll, simply send an email to (mail to: hailey.verstraete@datatopia.care) with their relevant profile and contact information (last name, first name and email address) and we will make the necessary changes to your team list in your scheduling application. Any historical data (previously scheduled work, for example) will be stored as long as you desire. In the case of the addition of a new team member, contact (mail to: hailey.verstraete@datatopia.care) and we will send you a questionnaire to complete with your new team members information (contact information, scheduling, etc…).

What do you do with my data?
Your data is anonymised before being transferred to our servers where they will be stored and treated of course while respecting GDPR guidelines.

Where is my data stored?
Your data is stored on a dedicated and secure server in Europe. It is certified for conformity with the European data protection guidelines (GDPR and ISO).



USING THE PLATFORM


What is a SaaS?
A SaaS platform is a software or application to which you can connect from anywhere as long as you have an internet connection. This means that you are not required to download a platform on the hard drive of your computer, tablet or smartphone. You can easily access a SaaS with a login and password all while being sure of the security of your data.

Is my pharmacy software compatible?
Yes, our technical and infrastructure teams work tirelessly to ensure compatibility with the major sales softwares on the market. If ever we encounter a difficulty in the connection, you will not need to intervene. We will resolve any complications directly with your software partner.

How frequently is my data updated in Datatopia?
In the beginning phase of Datatopia, the operational (sales software) and HR data will be updated once per week. In the future, as we develop future versions of Datatopia, we plan to propose daily updates for pharmacies who decide that this would be helpful to them.

How is Datatopia different from the information already in my software?
Using algorithms and artificial intelligence tools, Datatopia analyses and treats your anonymised sales software data in conjunction with other external data which could have an impact on your daily activities. Further, Datatopia is then able to provide you with concise explanations of the key factors that impact your sales results as well as give recommendations on other key areas such as procurement, stock, finance, HR, competition, scheduling…). 

How long does Datatopia take to set up ?
It takes approximately 3 weeks to configure your fully functional profile and account in Datatopia. (This period allows us to test and validate the data sharing protocol and to integrate the often abundant amount of pre-existing data in order to share the pertinent trends and recommendations)

What do I need to do to integrate Datatopia? 
Each pharmacy is contacted by our technical team in order to organise the access to the sales software data and to validate the data sharing protocol.This process is validated when we find that there are sufficient qualitative data to provide you with pertinent analyses and recommendations. 

What do I need to do to set up my employees in the HR module?
Our team will accompany you from your first steps with Datatopia. We will send you a questionnaire to collect all the necessary information relative to your team members: last name, first name, contact information, status (employee, independent, intern…), start date, typical working hours, … This personal information is managed under strict confidentiality and in perfect conformity to GDPR regulation in order to respect the privacy of each team member. 

How does Datatopia read my pharmacy data?
Datatopia connects to your sales software via a secure connection protocol that allows us to access your data. Your data is then anonymised before being transferred to our servers where they will be stored and treated while respecting GDPR guidelines. 

I don’t keep my software up to date, will Datatopia still work?
Datatopia is able to show you trends based on the available information regarding your sales and stock. From your first connection, Datatopia is able to highlight any missing information that could be added in order to significantly improve your operational, financial and HR performance.



MY SUBSCRIPTION

Can I change my plan later (Add/remove modules)?
If you decide to subscribe to only one of Datatopia’s base modules, you will have the possibility to upgrade your subscription during its term in order to fully take advantage of all of Datatopia’s services. You can also decide to stop using a module. To do this, simply let us know one month before the end of your current subscription (which has a minimum commitment of 12 months) in order to avoid the automatic renewal of this module and its services as configured at the time of your subscription.

Are there set up fees?
n order to connect to your existing management tools (sales software, or a potentially pre-existing scheduling tool) we charge a 2,500 euro installation fee. The technical connection process is handled entirely by our technical team. Our team works remotely without requiring any intervention on your end. This means that our team handles the configuration of your Datatopia profile. During the launch of Datatopia, these fees will be waived for our first 300 pharmacies.
